Getting started
How long does setup take, and will you help?
We don't promise a set number of days, because it depends on how much you bring. First you send us your worker list, work areas and pay periods. The first 50 paying founding farms get hands-on setup included: we add your crew, set up your pay periods and fields, and test a first export with you. That comes with a 60-minute walkthrough, a 30-minute follow-up and 14 days of setup support. Setup help is in English.
What happens after the 30-day trial?
For 30 days you get our top plan, with no credit card. After that you move to Free (up to 3 workers) unless you choose a paid plan.
Will my crew manage if they're not tech-savvy?
Workers punch in from their own phone or from a shared tablet with a PIN, in English or Spanish. Managers can also record a punch on a worker's behalf, and the worker confirms it.
What do I need to begin?
Your worker list, your work areas (fields, barns, pastures), your pay periods and the format your payroll team uses.
Pricing
Who counts as an active worker?
Workers and supervisors count once per organization in each monthly window. Management accounts do not count.
What is the difference between a farm and a field?
A farm is a separate operation with its own crew, pay periods and payroll files. Fields are the work areas inside it, such as blocks, barns and pastures, that crews clock into.
Is annual billing cheaper?
Yes. Pay for 10 months, get 12. The year is paid upfront.
Does each plan include the one below it?
Yes. Crew includes everything in Free, Producer includes everything in Crew, and Visa includes everything in Producer.
In the field
Can my crew work without a signal?
Yes. Punches are saved on the phone and sync when service returns. On Producer and Visa, phones can also pass punches to a nearby supervisor's phone.
Can the whole crew clock in on one tablet?
Yes. Kiosk mode lets workers pick their name and enter a PIN on a shared tablet. It is included in every plan, including Free.
Do you track workers' location?
Location is captured when a worker clocks in or out, to match the punch to a field. Farm Timecard does not track location in the background.
Pay and overtime
Can I pay piece, day rate and hourly in the same week?
Yes. Mixed weeks work. Piece and mixed pay are in Producer and Visa.
How does minimum-wage make-up pay work?
When piece pay falls below minimum wage for the hours worked, Farm Timecard calculates the make-up pay and shows it as its own line.
How is Oregon farm overtime calculated?
The Oregon phase-in is built in: 55 hours a week in 2023–2024, 48 in 2025–2026, and 40 from January 1, 2027. Weeks that cross a change date are calculated for you.
Which states do you support?
Oregon today. Arizona, Washington and California are in progress, and other states with farmworker overtime laws come next. If you farm somewhere else, tell us where. We read every request.
What if you don't track work the way we do?
Tell us how you track work. Send a feature request. We read every one and will write back.
Payroll
Does Farm Timecard run payroll or pay workers?
No. It prepares pay details and files for your payroll provider or bookkeeper. You keep your payroll process.
Which payroll providers do you make files for?
We make export files for Paychex Flex, Gusto, ADP Workforce Now, ADP Run, OnPay, QuickBooks (Desktop and Online), Square Payroll and CSV.
Can my bookkeeper get access?
Yes. Bookkeeper access is included from Producer up.
Records and data
How long are records kept?
Time and pay records are kept at least four years, and H-2A records at least three years after certification.
Can workers see their own hours?
Yes. Workers can view their timecards and request their own records.
Will it help me prepare for an audit?
Approving a pay period saves a copy that can't be changed, corrections are added to a history, and the Visa plan adds an audit-preparation package. Farm Timecard helps you keep records ready. It does not give legal advice.
Oregon
What is the Oregon overtime tax credit, and how does Farm Timecard help?
Oregon gives qualifying crop and animal farms a tax credit of 30–100% of the overtime premium (the extra pay for overtime hours) they pay farmworkers. Dairies with 25 or fewer full-time-equivalent workers get 100%. Farm Timecard keeps the overtime hours, wages and activity-share records the application asks for. Applications open each January, and tax year 2028 is the last year you can claim it.
Language and support
Is everything in Spanish?
The worker app, notifications, shared tablet and messages are in English and Spanish. Calls with Christian and setup help are in English.
